Send Files

A shared-files link gives someone outside your organization files from you. You upload the files on the work item, and they download them from the link's page, with no account and no file-transfer service.

  1. Click Send files

In the work item's Secure File Exchange panel, click Send files, then Choose files and pick them from your computer. Each file can be up to 1 GB, unless your admin sets a lower limit.

  2. Choose the settings

    • Expires after: how long the link works. Your admin sets the choices and the suggested value.
    • Download limit: how many times each file can be downloaded: No limit, Once, 2 times, 3 times, 5 times or 10 times. The limit counts per file, not for the link. Your admin may require a limit.
    • Protect with a password: optional, unless your admin requires one. See Passwords and Locked Links.
  3. Click Create link

The files upload, each with its progress, and the link appears in the panel as a Shared files card. If a file fails to upload, Try again sends it again.

  4. Send the link

Click Copy message and paste it into your email or chat with the person. If the link has a password, send it another way. See Copy the link and the message.

A link's settings and files are fixed once it is created. To change them, revoke the link and create a new one.

What the outside person sees

The link opens a page that lists the files shared with them, each with its size, a Download button and the downloads left. When every file has used up its downloads, the link's state becomes Download limit reached and the page says so. See What Outside People See.

The card in the panel shows the downloads used, such as Downloads: 1 of 3, and the Audit Log records each download with its time.
