Policies
One policy applies to every link on your Jira site. Jira administrators set it on the Policies page, and the app works with its defaults until someone changes them.
Open the Policies page
Go to Jira settings → Apps, and under Secure File Exchange choose Policies. The page has five tabs: Links, Files, Storage, Retention and Permissions. Change what you need and click Save.
Only Jira administrators can see and change the policy.

Settings and defaults
Links
| Setting | What it does | Options | Default |
|---|---|---|---|
| Default expiry | The expiry suggested when someone creates a link. | 1, 3, 7, 14, 30, 60 or 90 days, up to the longest expiry | 14 days |
| Longest expiry | The longest expiry anyone can choose. | 1, 3, 7, 14, 30, 60 or 90 days | 30 days |
| Default download limit | The limit suggested for each file of a Send files link. | No limit, Once, 2, 3, 5 or 10 times | No limit |
| Require a download limit | Nobody can choose No limit. If the default is No limit, it becomes 3 times. | On or off | Off |
| Require a password | Every new link has a password. | On or off | Off |
Files
| Setting | What it does | Options | Default |
|---|---|---|---|
| Allow any file type | Lets request links accept any type. When off, they take documents and images only. | On or off | On |
| Largest file | The largest file anyone can upload, outside people and your own team alike. | 10 MB, 100 MB, 250 MB, 500 MB or 1 GB | 1 GB |
| Files per link | The most files one link can hold. | 1 to 50 | 50 |
With Allow any file type on, the person creating a request link still chooses, and the dialog suggests documents and images. Documents and images are PDF, Word, Excel, PowerPoint and OpenDocument files, RTF, TXT and CSV, JPG, PNG, GIF, HEIC and HEIF photos from iPhones, WebP and TIFF images, and ZIP archives.
Storage
Limit storage caps how much space the app's files may take on your site, from 1 to 100,000 GB, in the Storage limit (GB) field. The tab shows the space used now. With no limit set, which is the default, the size of each file and the number of files per link are the only caps.
Retention
| Setting | What it does | Options | Default |
|---|---|---|---|
| Delete files | How long files are kept after their link expires or is revoked. | 1, 7, 14, 30, 60, 90 or 180 days | 30 days |
| Keep audit log | How long audit events are kept. | 90 days, 180 days, 1 year or 2 years | 1 year |
There is no option to keep files or events forever, so what the app holds always has an upper bound.
Permissions
Who can create, revoke and unlock links. See Who Can Create Links.
When a change takes effect
New links only: expiry, download limits, passwords, file types, the largest file and files per link. A link keeps the settings it was created with, so a customer who already has a link is not surprised by new rules.
Right away, for every link: the storage limit, retention, and who can create, revoke and unlock links.
Shortening retention deletes data within the hour, and that cannot be undone. Before you save, the page warns you: Some files will be deleted or Some events will be deleted.
